Privacy Policy
Last updated 16 October 2026. ServerOps is run by AY Games.
The short version
- ServerOps keeps what it needs to run the features a server turns on: ids, settings, and records like tickets, cases and XP.
- It reads message text to run features, in memory. It doesn't keep readable message text unless a server turns that on.
- No ads, no trackers, no analytics, and nothing is sold. This website sets one cookie, and only when you log in.
- You can see, export and delete your own data with
/privacyin Discord.
What the bot keeps
Discord ids (of members, channels, roles and servers) are kept wherever a feature needs them. Your name and avatar can appear on log cards in a server's own channels, but they aren't stored as records.
| What | What is kept | Why |
|---|---|---|
| Server settings | Which modules are on, the channels and roles they use, every module's settings, and a history of who changed what, when, and whether from Discord or this website. | To run the modules the way the server set them up, and so admins can see what changed. |
| Moderation | Numbered cases: who, which moderator, what was done, the reason, when, and staff notes. | So staff can follow up, and tempbans and timeouts end on time. |
| Tickets | Who opened each ticket, the department, the form's answers, its status and times, staff notes, the rating, and the ticket blacklist. Transcripts are posted as files to the server's own staff channel. | To run the help desk and its reminders. |
| Giveaways and votes | Giveaways, one entry per member, the winners and their claims, and top.gg votes (across all servers). | To draw fair winners and count bonus entries. |
| Reminders | Your reminder's text, where and when it goes off. A one-time reminder is deleted when it's delivered. | To remind you. |
| Levels | XP for messages and voice (in total, this week and this month) and message counts. | For levels, rewards and leaderboards. |
| Suggestions | Each suggestion's text and author, its status and the staff note, and one vote per member. | To run the vote and staff decisions. |
| Self-roles and games | Role menus, temporary roles until they end, Guess the Number rounds, wins and the daily challenge. | To run those features. |
| Sticky messages | The text admins write for them. | To repost it. |
| Messages to the developer | Mail server admins send with Contact the developer, and the replies; whether you were shown a notice from the developer. | To answer, and not to show the same notice twice. |
Message text
- The bot reads messages, in memory, for AutoMod, XP, Guess the Number and sticky messages. Reading isn't keeping.
- Readable message text is not kept unless a server's admins turn on "Keep readable message text". Without it, log cards, ticket transcripts and AutoMod reasons say what happened, without the words.
- Spotting repeated messages uses a one-way fingerprint of the message, never its text, kept in memory.
- A server that logs edits and deletions keeps recent messages in memory for up to an hour, so a log card can say what was edited or deleted. Nothing of it is written to the database.
What this website keeps
- One login cookie,
__Host-serverops, set only when you log in with Discord. It holds your Discord id, name and avatar, and when you logged in and last visited. It's signed so it can't be changed, kept by your browser (not by us), and lasts 30 days from your last visit. Logging out deletes it. - Two short-lived cookies while you use it: one for 10 minutes while a login is under way, and one for a minute to show what your last change did.
- Logging in asks Discord only who you are (the
identifypermission): not your email, and not your server list. Discord's access token is used once, to ask that, and never kept. - Your avatar is shown from Discord's own image server.
- Changes you make here are recorded in the server's settings history with your Discord id, marked as made on the website.
- To stop floods of requests, the site counts requests per network address, in memory only, for a minute. The site keeps no access logs.
- When you vote for ServerOps on top.gg, top.gg tells this website: your Discord id, name and avatar. Only your id, when your vote ends and how many times you've voted are kept, so your giveaway entries can count more.
What we don't do
No advertising, no trackers, no analytics, no third-party scripts, and no selling or sharing of data. We never ask for your email or your password.
Who sees it
- A server's staff see what ServerOps does in their server: moderation cases, tickets, logs and settings.
- You see your own data with
/privacy view. Staff notes and other members' data aren't shown to you. - AY Games sees mail sent with Contact the developer, and can reach the data to keep the bot running and fix problems.
- Other companies that handle it for us: Discord (the platform everything runs on), and the hosting company whose server runs ServerOps. The offsite backup copy is kept by AY Games on their own computer.
Where, and for how long
- ServerOps runs on a server in Montreal, Canada.
- Records stay while the server uses ServerOps. Admins choose how long finished records are kept (closed tickets, finished giveaways, decided suggestions, old level stats, moderation cases no longer in effect, Guess rounds); by default they're kept. Nothing still running is removed.
- Backups: hourly copies on the server for 48 hours, and a daily copy offsite for 30 days. Something deleted is gone from every backup within about a month.
- The bot's own logs note errors with the server, channel and user ids involved, so a reported problem can be found. They're rotated, so only the latest are kept.
Your choices
/privacy viewshows what ServerOps keeps about you in that server./privacy exportgives you all of it as one file./privacy deletedeletes it: your reminders, level stats, game stats, entries in finished giveaways and your votes go; your suggestions and what you wrote in closed tickets are anonymised. It tells you first what is deleted and what is kept.- Moderation cases are kept for the server's safety: ask the server's staff about them.
/privacy policyshows how your server has set things up.- For anything else, or for data across all servers, write to support@aygames.gg.
Age
ServerOps is for people old enough to use Discord: 13, or older where the law where you live says so.
